Are you prepared for year-end?
As 2003 comes to a close, we wanted to review some important information that will assist you with your yearend processing. For procedures on closing a fiscal year click here NavisionYearEnd2X for Navision 2.X and here NavisionYearEnd3X for Navision 3.X. For steps on processing 1099's click here, Processing1099. Some additional steps you can take to ensure a smooth yearend include:

Place your order for W2’s, etc. as soon as
possible. We typically recommend ordering from Deluxe Business Forms @
www.deluxeforms.com. Please specify Priority Service Code:
#K04084. Remember to order extra forms
for any testing and reprints that may be necessary.

Print out your W2, W3, and 941’s now in order to
check for data or reporting problems. Simply print the appropriate
documents on blank paper and review the data. Review closely those
employees that lived in multiple states, received a bonus, have pre-tax
deductions, have non-cash compensation, have other miscellaneous
exceptions, etc.

Also confirm that the employee’s payroll
information on the Employee Card is accurate. In particular, review the
Retirement Plan check box and the Deferred Compensation check box.

If you require assistance with any yearend
adjustments, like non-cash compensation (e.g. an auto allowance), please
contact AVF now so that we can help you make the appropriate entries for
your review before the end of the year.

If you require assistance with your yearend
procedures after December 31st, please contact AVF now to
schedule time in January. Our assistance will be provided on a first
come, first serve basis.
- If you submit files on Magnetic Media, AVF is available to review the file prior to submission, but please schedule our time for this service.
As part of your annual maintenance, AVF will provide you with the updates to your tax tables and any updates to the standard form layouts at no additional charge. These updates will be distributed by email, so please provide us with the email address and contact name of the person responsible for receiving the tax updates. In addition, please specify the jurisdictions you report to.
Please note that AVF Consulting is prepared to assist you in your yearend preparation; however, any services rendered by AVF Consulting on your behalf will not be considered part of your annual maintenance and will be billed on a time and materials basis (with the exception of the tax and form updates as previously specified). Jet Reports FREE Seminar, January 22, 2004: If you would like an easy way to present your Navision data using Microsoft Excel, you should check out Jet Reports. Jeremy Fass will demonstrate the functionality and resulting benefits of Jet Reports on January 22, 2004 at 9:00am at AVF’s Baltimore office. Learn Advanced Navision Reporting with Jet Reports: Come to a 3-day in-depth training class and leave with the expertise to build a wide variety of Navision reports using Microsoft Excel® and Jet Reports. You will also generate at least one report for your data, using your database. The class will be held February 24-26, 2004, 9am to 5pm at AVF’s Headquarters in Baltimore. Object Designer I and Report Writer I, February 17: Maximize your use of Microsoft Navision with training classes designed to enhance your abilities. Classes are on February 17 with Object Designer I in the morning and Basic Report Writer in the afternoon. Purchase one class for $295 or both classes for $515. Welcome new AVF team members, Joyce Villanova and Jon Cooper! Joyce has over 9 years experience with Microsoft Navision and in that time, has consulted on countless implementations, trainings, and upgrades. Jon is fulfilling a new role at AVF as Systems Architect. With a degree in Computer Science, he is educated in advanced programming languages and techniques. Jon will develop products and services for clients that extend their capabilities beyond standard Microsoft Navision, including Web services, desktop applications, and PDA-based solutions.

Close Fiscal Year – Multiple Times
Closing your fiscal year is performed through the Periodic Activities in the General Ledger. This will transfer the year’s result to an account in the balance sheet as well as close the income statement accounts. This will allow you to generate accurate reports for the current year as well as financials for the closed fiscal year. Multiple closings enable you to close for reporting, and then make additional closing entries that will post into the previous fiscal year, even after the income statement accounts have been closed. When you run the “close fiscal year” afterwards your beginning balances will be adjusted to reflect the changes.
