Get Set for Year End!

As 2006 comes to a close, we would like to review some important information that will assist you with your year end processing.  Those customers using Navision version 3.7 or below should click here 3_7YearEndClosing.doc for procedures on closing a fiscal year and click here 3_7YearEnd1099Process.doc for steps to process 1099's.  Those customers using Navision version 4.0 should click here 4YearEndClosing.doc for procedures on closing a fiscal year and click here 4YearEnd1099Process.doc for steps to process 1099's.  Additional steps you can take to ensure a smooth year end include:

  1. Place your order for W2’s, etc. as soon as possible.  We typically recommend ordering from Deluxe Business Forms at www.deluxeforms.com. Please specify Priority Service Code: #K04084. Remember to order extra forms for any testing and reprints that may be necessary.
     
  1. Print out your W2, W3, and 941’s now in order to check for data or reporting problems.  Simply print the appropriate documents on blank paper and review the data.  Review closely those employees that lived in multiple states, received a bonus, have pre-tax deductions, have non-cash compensation, have other miscellaneous exceptions, etc.
     
  1. Confirm that the employee’s payroll information on the Employee Card is accurate.  In particular, review the Retirement Plan check box and the Deferred Compensation check box. 
     
  1. If you require assistance with any year end adjustments, like non-cash compensation (e.g. an auto allowance), please contact AVF now so that we can help you make the appropriate entries for your review before the end of the year.
     
  1. If you require assistance with your year end procedures after December 31st, please contact AVF now to schedule time in January.  Our assistance will be provided on a first come, first serve basis.  Call AVF Customer Service at 410-269-5100 or twilliams@avfconsulting.com or mclark@avfconsulting.com 
     
  1. If you submit files on Magnetic Media, AVF is available to review the file prior to submission, but please schedule our time for this service.

As a part of your annual maintenance, AVF will provide updates to your tax tables and any updates to the standard form layouts.  This includes any IRS related changes to either the W2 or 1099 as well as Payroll tax rates.  Any organizations not current on maintenance or using a version of Navision no longer supported by Microsoft (below 3.7) can have AVF update their tax tables and standard forms, however they will be charged by AVF on a time and materials basis. 

New objects for the W2 or 1099 will be issued between mid December and the first week in January. Payroll tax rates for the next year are typically released during the first week in January. All updates will be distributed by email, so please provide us with the email address and contact name of the person responsible for receiving the tax updates.  In addition, please specify the jurisdictions you report to.

AVF Consulting is prepared to assist you in your year end preparation; however, please keep in mind, any services rendered by AVF Consulting on your behalf will not be considered part of your annual maintenance and will be billed on a time and materials basis (with the exception of the tax and form updates as previously specified).  Contact our support department at 410-296-5100 with any questions or concerns. 

AVF Office Closing

Please be advised, the AVF office will be closed for the Thanksgiving holiday on the following dates:

Thursday, November 23rd
Friday, November 24th

On those days, the AVF Helpdesk will be closed and all AVF employees will be off for the holidays. In order to have access to the Emergency After-Hours Services that AVF provides, you must sign up. Signing up is free! You are only billed when you use the service or request Emergency After-Hours work. Tip or Trick

Creating 1099's

What do you do when a vendor contacts you looking for his 1099, and you never set him up as 1099 applicable?  Take a deep sigh of relief because Navision offers us a solution.  Go to the Vendor Card, Payments Tab, and specify the 1099 Code for future entries.

Now show the column titled “1099 Code”.  Select F2 to edit the field and select the appropriate 1099 code for the line.  Run your 1099 document.  Keep in mind that 1099 invoice amounts do not show on the 1099 report until paid - the date paid will have an effect on your report.  You can view Vendor 1099 statistics from the vendor card, vendor button, 1099 statistics (SHIFT + F9).

From the Vendor Ledger Entries show the column called “1099 Amount”.  Typically you cannot edit any field in tabular form.  The 1099 Amount is the exception.

With your cursor in the applicable field, select F2 to edit.  The field is now editable.  Change the 1099 amount to reflect the taxable amount.  You can now run your 1099 report for this vendor, as well as process the 1099.
