Making a Microsoft Dynamics NAV Backup:
It's Simple, Fast, Free and Guarantees the Recovery of Your
Most Critical Data in an Emergency Situation. 

Microsoft Dynamics NAV backups are made so that there will always be an extra copy of your company data to restore into the application should a problem arise with the working copy. You should make backups for your own sake, but in most countries it is also a legal requirement. AVF highly recommends that all customers perform daily backups of their database. This is easily achieved by assigning one individual from your company to be responsible for making that backup each day.

There are several advantages to creating backups using the Microsoft Dynamics NAV backup including:

  • The system tests that database for errors.

  • The data is packed, so it takes up as little space as possible.

  • The system calculates how much space the backup will use.

  • Other users can continue to work in Microsoft Dynamics NAV while you are making the backup. (It is important to note that SQL locks all tables during backup.) 

You always want to provide AVF Consulting with a current backup of your system. This will provide your company with access to better assistance and quicker support.

Creating a Microsoft Dynamics NAV backup:

To create a Microsoft Dynamics NAV back up, go to the tools menu and select backup. The following window will appear:

Specify how extensive you want the backup to be:

  • Entire Database (includes all companies in database, data common to all companies, and application objects)
  • All Companies (only the companies)
  • Custom (only the selected items)

Enter a Description for your backup – you will see this when you restore the database.

The File Name also includes the Path (location on the disk or network). Click the assist button to select the path of the file. It is easiest to give the backup a file name that references that backup date – for example CRONUS-050107.fbk.

Select OK to start the backup. If you chose to copy to disk, the system will ask you to insert disk 1; click OK to continue. While the backup is being made, you will see status indicators. Select Cancel if you wish to stop the backup. You will receive a message when he backup is complete. You have now backed up your Microsoft Dynamics NAV Database.

Please Note that larger databases, where the backup size is greater than 2GB, will create multiple backup files that are numbered (example fin.fbk, fin2.fbk, fin3.fbk). You will need all of the files to properly restore the database.

Accounting Technology: VAR Top 100

AVF Consulting has been included in this year's VAR Top 100. Each year, Accounting Technology magazine names the Top 100 Business Software Consultants and Resellers of financial management software as the VAR 100. Thousands of consulting companies exist, but only 100 are honored based on sales, industry reputation, leadership, and growth.

The VAR 100 includes organizations supporting and selling a range of accounting software solutions, including all four Microsoft Dynamics products, Sage, Epicore, Accpack, Cyma, and SAP.  The list ranges from organizations boasting a global presence and approximately $230 million in revenue to companies with only 14 employees and $3.5 million in revenue. 

This is the first year AVF has applied for a position on the VAR Top 100, however we have received similar recognitions in 2003, 2004 and 2005 when we were included in the Technology Pacesetter award.  As AVF continues to grow and expand our business, these recognitions serve to remind us of how far we have come and our potential for future growth.

Tip or Trick

Payment Tolerance

Necessity is the mother of invention. Many Microsoft Dynamics NAV end-users accept payment by PayPal or Credit Card. The problem is that there is a fee that is charged to the merchant for the use of the payment collection service.

The Invoice is for $100.00, but the receipt of cash is for $98.00. What is to be done with the $2.00 shortage? I recommend you send this fee/expense of $2.00 to an expense account. [7101 Credit Card Fees]

As you record the payment of the $100.00 Invoice, you really enter $98.00 and then Microsoft Dynamics NAV will automatically post the $2.00 to the Credit Card Fees COA. Microsoft Dynamics NAV will ask you to confirm the approval of the short pay. This is a very good use of the “Payment Tolerance” feature.
